Description:
Experience in office administration and/or project coordination (ideally in a software or IT services company). Good understanding of the software development lifecycle (SDLC) and agile methodologies is a plus: excellent organisational skills and attention to detail. Office Administration: Serve as the first point of contact: reception, greet visitors, and manage phone/email queries. Maintain office supplies, manage vendor relationships, facility upkeep, ensure cleanliness and proper environment. Handle travel arrangements, meeting room bookings, scheduling team meetings, and event coordination (in-house trainings, company outings). Assist HR in onboarding & off-boarding: prepare joining kits, manage ID cards, and maintain personnel records. Liaise with finance for petty cash, expenses, vendor invoices, and office bills (utilities, internet, maintenance). Ensure compliance with office policies, coordinate with security/housekeeping/maintenance. Project Coordination: Support Project Manager(s) by maintaining project plans, tracking milestones, deliverables, dependencies and risks. Facilitate communication across teams: developers, QA, UX/UI, business analysts, and clients. Escalate issues when needed. Organise project meetings: create agendas, take minutes, follow up on action items. Maintain project documentation: requirements, change requests, status reports, meeting minutes, and client communications. Monitor project timelines, budgets (if applicable), scope changes, and assist in ensuring projects stay on schedule and within scope. Assist in resource allocation: track utilisation, update dashboards, and highlight potential resource constraints. Help with client coordination: schedule status calls, update clients on progress, collect feedback, moderate expectations.
